Database reactivation

The best list you own is the one you already have.

Every business is sitting on a spreadsheet of people who bought once, enquired and never closed, or asked you to call back next quarter. It is the cheapest pipeline available, and it goes stale because working it is nobody’s job.

Before the call

Bought in March last year. Asked about the larger package and said to try again after their renewal.

After the call · transcribed and summarised

Renewal is next month. Wants pricing for the larger package in writing before deciding. Agreed to a callback Thursday.

What goes wrong

A spreadsheet is not a work queue.

Six hundred old customers sit in a CSV. Someone starts at the top, gets forty calls in, and the outcomes end up in a private notebook. Nobody knows who has been called, what they said, or who agreed to a callback on Thursday. Two weeks later a second person starts at the top of the same list. The people who were genuinely ready to buy are somewhere in the middle, and nobody reached them.

  • A list of past customers nobody has contacted in a year.
  • Call outcomes in a notebook, a memory, or nowhere.
  • Callbacks agreed on the phone and missed a week later.

How it runs

Set it up once, then it just works.

  1. 1

Import the list as a CSV and turn it into an assigned call list.

  2. 2

Your team works the queue with each contact’s history in front of them.

  3. 3

Every outcome is recorded, and every callback becomes a dated task.

What it will not do

It will not make a cold list legal to message. An old customer record is not marketing consent, and reactivation by campaign depends on permission, suppression rules and the messaging rules of each channel — calling has its own rules again, including recording consent, which varies by country and by US state. The workflow assumes you already have the right to contact these people; it keeps the record of what you did, not the permission to do it.

FAQ

What teams ask first

Can I import a list and start messaging it?

Importing contacts does not establish marketing permission. Campaign eligibility, suppression and provider messaging rules are all checked before anything sends, and a saved contact does not bypass them.

Are calls recorded and transcribed?

Where the connection supports it and you have configured it, calls can be recorded, transcribed and summarised onto the timeline. Recording consent requirements vary by jurisdiction — two-party-consent US states and UK GDPR among them — and meeting them is your responsibility.

How do telecallers avoid calling the same person twice?

Entries are assigned, and each one carries its disposition once it has been worked, so the queue reflects what has already happened rather than starting from the top again.
