Clinics & wellness

The front desk cannot answer the phone and the room at once.

Most clinic enquiries are the same handful of questions about price, availability and whether you treat a particular thing. They arrive while your receptionist is with a patient.

WhatsApp · 8:15pm

Hi, how much is a hygienist appointment and do you have anything on a Saturday?

Answered from your price list

A hygienist appointment is £65 for 30 minutes. We do run Saturday mornings — shall I show you what’s free this week?

WhatsApp · 8:16pm

Yes, Saturday morning would be ideal. It’s been about two years since my last one.

What goes wrong

The enquiry that goes unanswered books somewhere else.

Someone asks about a treatment price at 8pm. The message sits until morning, and by then they have booked at the practice that replied. The bookings you do take drift into no-shows because nobody had time to confirm them, and the gap in the diary is only visible once the slot has already passed.

  • The same three questions — price, availability, do you treat X — answered by hand all day.
  • No-shows discovered when the patient does not walk in.
  • Evening and weekend enquiries answered on the next working day.

How it runs

Set it up once, then it just works.

  1. 1

Load your treatment list, prices and opening hours as approved sources.

  2. 2

Enquiries get an answer at 8pm, not 9am, with a booking link attached.

  3. 3

Confirmations and no-show follow-ups run as scheduled tasks, not memory.

What it will not do

It is a sales and enquiry tool, not a clinical system. It does not hold medical records, give clinical advice, triage symptoms, or replace your practice-management software. Treat it as the layer that answers enquiries and fills the diary — and check what you load into it, because an enquiry thread is not the place for clinical detail.

FAQ

What teams ask first

Is this a patient record system?

No. It manages enquiries, bookings and follow-up. Clinical records belong in your practice-management system, and you should not paste clinical detail into a CRM conversation.

Will the AI give health advice?

It should not, and you should not configure it to. It answers from the material you approve — prices, treatments offered, opening hours — and hands over to a person for anything else.

Can it reduce no-shows?

It can make the follow-up reliable: a scheduled, assigned task for each confirmation and each missed appointment, instead of whoever remembers. Whether a patient turns up is still up to the patient.
